MEMBERS:

  • Keyholding (optional?)

  • Can bring other people to the space.

  • Assumed welcome in the space at all times (do we want to allow events that exclude members? I'm thinking we don't have a good mechanism for it even if we do)

  • Any non-regular event must have a member point person. Anyone can propose a use of the space but a member has to be present & responsible.

Last point is basically addressing the "outside events" question with an answer that Yes, outside events are fine, but a member must be involved. We'd still need a mechanism for how we agree that an event is ok.

BOARD:

  • President (Calls and runs config meetings. If we run into anything that needs decision making too fast for consensus, they make the decision and report back.)

  • Secretary (Backup president. Responsible for maintaining Cyberia records.)

  • Treasurer (Second backup. Responsible for making sure bills get paid on time.)

A president and a treasurer are also generally the roles we'd need filled to be "official", but they're laid out above because the things that really need a dedicated point person are: Call meetings when we need them, know where the meeting notes are, and know what/where the bills are.

DECISION MAKING:

  • Cyberia decision making is done wherever possible by consensus.

  • Non-permanent, non-damaging decisions regarding Cyberia or its spaces may be made by members at any time.

  • Unless indicated otherwise, decisions may be made by consensus of members present at a regular Cyberia gathering, with a quorum of at least 3 members present.

  • Cyberia decision making may be made by consensus online or in person (outside of regular Cyberia gatherings). If made with the same quorum (3 members present), then these decisions must be announced and reviewed at a subsequent regular gathering with a quorum of members present. (Either within 1 week or at the next regular meeting if there isn't one within 1 week.)

  • Outside regular gatherings, a quorum for immediate decision making is strictly more than 1/2 of active members, including at least 3 active members. Consensus is still preferred in this context, but decisions may be made by majority vote provided the text of the decision item is provided to members at least 1 week before the vote.

  • All members (active or not) may fully participate in decision making. A member ceases to be active if they have two unexcused absences from config meetings, and can be reinstated to active status by attending two config meetings or by consensus of active members at a config meeting.

The goal is to normalize consensus, recognizing that consensus cannot always be achieved. The "active" member notion is borrowed from Cyberia congress because there's no problem with keyholders who don't show up that often, but we should maintain a culture of showing up to or explicitly sharing why we can't attend config meetings. The President is responsible for scheduling config meetings.

GATHERINGS:

  • The secretary will maintain a list (viewable by all members or public) of planned Cyberia events.

  • The secretary will maintain a list (viewable by all members or public) of "regular" Cyberia events.

  • Members may decide what constitutes a regular Cyberia event.

Presumably "friday night vibes" is a regular event. We can decide from there what else is. Have the Mondays got enough critical mass?
